Page numbers are the cheapest way to make a document look finished, and the most annoying thing to add after the fact. A contract with 42 pages and no numbers is unusable in a meeting where somebody says "turn to the indemnity clause"; a printed pack with a cover page throws the count out by one; a scan of two documents stapled together needs the numbers to pick up where the first one left off.

    How the numbers read

    Numbers run in the order the pages appear in the file, so the page you list first does not decide the number: the first numbered page in the document always gets the starting number.

    Bottom center at 10 pt, drawn a third of an inch from the edge. The numbers are ordinary page content, so they print, they stay searchable, and they sit inside the visible area instead of in a trimmed margin.
    The PDF's own page numbering is left alone: this draws printed numbers on the page, while a reader's "page 3 of 12" counter still follows the file structure. On a page that already carries its own rotation - common on scanned landscape sheets - a top or bottom number can appear along a side edge.

    Which number goes on which page

    Numbers run in document order, not in the order you type pages. The first page that gets a number receives the starting number, the next one gets the number after that, and so on - so starting at 5 on a three-page file gives 5, 6 and 7 rather than renumbering the front of the file.

    That is what makes continuations work. If a report is split into two files, number the second one starting at the number the first one finished on. Cover pages and tables of contents are handled by leaving them out of the list: the page list takes ranges and the words odd and even, so 2- numbers everything except the first page, and 3- skips a cover and a contents page.

    The wording comes from a small set of formats - 1, Page 1, 1 of 10, Page 1 of 10 - and the "of" total is always the last number printed, not the length of the file. That keeps a continued file honest: a three-page insert numbered from 5 reads Page 5 of 7 through Page 7 of 7, which is what a reader holding the rest of the document expects to see.

    Cropping is a window, not a pair of scissors

    Trimming the margins moves the visible window of the page, which is the honest way to describe what a PDF crop does. The page underneath keeps every byte: the content outside the new window is still in the file, still searchable, still extractable, and can be revealed again by any editor that lets you reset the crop box. The file does not get smaller either.

    That has a practical consequence worth repeating: cropping must never be used to hide information you need to keep secret. A scanned form with an account number in the corner is not redacted by cropping - the number is still in the file. It is a presentational tool for prints and screenshots, and the result of this tool says so in plain words instead of implying otherwise.

    What cropping does change is where the page number goes. The number is placed inside the new, smaller window - a third of an inch from the cropped edge - so a trimmed page does not end up with its number behind the cut. If the margins you type would leave a strip thinner than a quarter of an inch, the job stops with a message naming the page rather than producing a sliver.

    What is written into the file, and what is left alone

    The numbers are drawn as ordinary page content with the standard Helvetica font, so they print like anything else on the page, they stay in the text layer, they can be searched for, and they need no embedded font file. They are drawn after the page content, which puts them on top of whatever is underneath - normally blank margin, occasionally a footer line you may want to check.

    The PDF's own page labeling system is not touched. A PDF can carry page labels, which is how a reader shows "i, ii, iii" for front matter and then restarts at 1; this tool adds printed numbers on the page and leaves that structure exactly as it found it. That is usually what people want, and it is worth knowing that the two systems exist side by side.

    Pages that already carry their own rotation follow the same rule as anywhere else: a top or bottom number drawn on a page stored sideways appears along a side edge in some viewers. Nothing is re-rendered, nothing is recompressed, and the original file on your device is never modified - the result is a new download.

    Frequently asked questions

    Is this PDF page numbering tool free, with no account and no watermark?

    Yes. There is no sign-up, no email step, no daily limit and nothing added by danfio - the only marks in your output are the numbers you asked for. The work happens in your browser, so the limits are technical: one PDF per job, 25 MB for that file, and a 2000-page preview ceiling.

    Is my PDF uploaded to add page numbers?

    No. The file is read with the browser file API, the numbers are drawn on the pages in memory on your device, and the download is a Blob URL that exists only in the tab you are looking at. You can verify it through the network panel of your browser developer tools, or by doing the job with the network disconnected.

    How do I start numbering from a page other than 1, or skip the cover?

    Two separate settings. The First number box sets the number printed on the first numbered page - use it when a file continues an earlier one, or start at 0 for a cover that should read as page zero. The Pages that get a number box decides which pages are stamped at all, so 2- leaves the cover alone while 3- skips a cover and a contents page.

    Does cropping delete the content outside the new margin?

    No, and this matters. A crop changes the visible window (the crop box) while the page content stays in the file in full, which means trimmed-away content is still there, still searchable, and can be revealed again by another editor. Crop never makes a file smaller and must not be used to hide anything confidential - redaction needs the content actually removed.

    Will the numbers appear in the PDF text layer, and can I search for them?

    Yes. They are drawn as normal text with the standard Helvetica font rather than as an image or an overlay, so they print, they are selectable, and they are findable in a search. The reason "of" totals and labels work well in the text layer is exactly this: the number is part of the page, not a picture of a number.

    Why does the reader still show "page 3 of 12" when I numbered from 5?

    Because there are two numbering systems. The reader counts the pages in the file and shows that count, while this tool draws a printed label on the page. A PDF can also carry its own page labels, which is how front matter gets roman numerals - this tool leaves that structure untouched rather than rewriting it, so the printed number is the one you control.

    Assumptions and sources

    • Processing: pdf-lib (MIT licensed) runs in your browser. The label is drawn as page content with Helvetica, and any trim is written to the page crop box.
    • Label formats: {n} is the printed number and {total} the last number printed, so a file numbered from 13 with eight pages reads Page 13 of 20 through Page 20 of 20.
    • Crop behaviour: cropping moves the visible window only. Content outside it stays in the file, remains searchable and can be restored; file size is unchanged. Margin trims thinner than a quarter of an inch are refused with the page number.
    • Limits: one PDF per job, 25 MB per file, text size 4-72 pt, up to 3 in trimmed per side, and a 2000-page preview ceiling for the plan.
    • Not changed: the PDF page-label structure, bookmarks, form fields and signature fields. None of them are read or rewritten.
    • Privacy: no file, file name or page content is sent to danfio.com. There is no upload endpoint behind this tool, and the download is a Blob held in your own tab.
